The QA Documentation Specialist assists in the coordination and maintenance of all quality systems and is responsible to up-date related data-bases (Change control, deviation, CAPAR, NCR, OOS, Training records, etc). The incumbent also maintains filing system for Quality documents (electronic and paper) so that to achieve easy retrieval and /or destruction/archiving at appropriate time while ensuring traceability of these activities.

The QA Documentation Specialist also amends and maintain files (electronic and paper) for SOPs and forms as per approved Change Control submitted. The incumbent also assists to coordinate the review and approval of revised/new QMS documents and ensure GxP training documents are completed and filed as required.

Perform other clerical, laboratory, administrative and miscellaneous duties as required and/or instructed by Senior Director of Quality.


Minimum requirements:

  • Completion of a post-secondary diploma or related degree is required (science).
  • No less than one year of work experience in office systems in a similar industry.
  • Familiarity with laboratory operations and Quality Systems.
  • Proficient in using MS Office
  • Detail-oriented
  • Excellent writing skills, able to write reports and work instructions
  • Good understanding of quality assurance and quality control programs, including QMS
  • Basic knowledge of FDA/ Health Canada/ EU GMP and regulatory requirements
  • Good organizational skills, able to multi-task and prioritize
  • Great interpersonal and communication skills
  • Able to work independantly, with intiative and with minimal supervision
  • Team spirit

Preferred skills:

  • 2-3 years experience in office systems in a similar industry

Work With Us

Work environment:

Our head office is on Summer Street in Halifax, Nova Scotia and we have an office in Quebec City, Quebec. This role will work out of our Halifax, Nova Scotia office. The normal work week is 35 hours, core hours being 9 am – 5 pm. This role will very occasionally see early mornings depending on the project underway at the time. You will spend most of your time sitting in an office environment. Distance travel is not expected for this position.

Salary and Benefits:

This will be a salaried position, depending on skill and experience. Please indicate in your application, your salary expectations and your availability for this position.
